How we handle your information

We ask for as little as we need, use it only to plan and run your trip, and never sell it. This explains what we hold and the rights you have over it, under India's Digital Personal Data Protection Act, 2023.

Who we are

VacationSol is a registered Indian travel company (MSME UDHYM-DL-11-0112756, GSTIN 07AVVPK2729E1ZB). For anything about your data, write to enquiry@vacationsol.in, marked for the attention of our grievance contact.

What we collect

When you send an enquiry, we collect the details you choose to give us: your name, email, phone number, and whatever you tell us about the trip and the people travelling. We do not ask for more than we need to plan it.

We do not run advertising trackers. With your consent, we use Google Analytics to measure how the site is used, which you can decline when you first visit (see Cookies and analytics below). Basic, non-identifying server logs may be kept to keep the site running and secure.

Cookies and analytics

With your consent, we use Google Analytics to understand how the site is used, so we can improve it. It sets cookies and records usage such as the pages you view and roughly where you are, with your IP address shortened. We do not use it for advertising, and we do not sell this information.

When you first visit, we ask whether you agree. If you decline, no analytics cookies are set. You can change your mind at any time by clearing this site's data in your browser. Google processes this information as our provider, under its own terms.

Why we hold it, and on what basis

We use your details for one purpose: to answer your enquiry and, if you go ahead, to design and run your trip and stay in touch while you travel. We process this information on the basis of the consent you give when you send us an enquiry, and only for that purpose.

Who we share it with

To arrange a trip we pass the necessary details to the suppliers who deliver it, such as hotels, guides, drivers and local operators, and only what each of them needs. Some of these are outside India, so your details may be handled abroad to the extent your trip requires it.

We do not sell your data, and we do not let our suppliers market to you.

How long we keep it

We keep your details while we are planning or running your trip, and for a reasonable period afterwards to meet our tax and legal obligations, then delete them. If you enquire and do not travel with us, we hold your details only as long as needed to follow up.

Your rights

You may ask us for a copy of the information we hold about you, ask us to correct or complete it, or ask us to erase it. You may withdraw your consent at any time, and you may nominate someone to exercise these rights on your behalf if you are unable to.

To do any of these, write to enquiry@vacationsol.in and we will act on your request within a reasonable time. If you are not satisfied with how we handle a concern, you may raise it with the Data Protection Board of India.

Changes to this notice

If we change how we handle your data, we will update this page and the date at the top.

Planning and running your trip

The basis on which we plan and run private trips. These sit alongside the terms of the individual suppliers who deliver your trip.

Planning fee

Planning a trip is real work, so it begins with a planning fee. The fee covers the design of your itinerary and is credited toward the cost of your trip when you travel with us. It is charged before detailed planning begins.

Quotes and confirmation

A quote reflects prices and availability at the time we prepare it and is not held until confirmed. Your trip is confirmed only once we have accepted your booking in writing and received the payment due at that stage.

Payment

A deposit is due to confirm a trip, with the balance due before you travel. The exact amounts and dates are set out in your quote. Some elements, such as flights or peak-season stays, may need to be paid in full when booked.

Prices

Prices depend on rates, taxes and exchange at the time of quoting and may change until your trip is confirmed. Once confirmed, your price holds, except where a supplier or government imposes a charge outside our control.

Changes and cancellations

If you need to change or cancel a confirmed trip, tell us as soon as you can and we will do what we can to help. Because a trip is built from individual bookings, cancellation charges follow the terms of each supplier and can be significant close to departure. The planning fee is not refundable.

If we ever have to change or cancel part of your trip, we will offer the nearest suitable alternative or a refund of what has not been spent on your behalf.

Suppliers

The hotels, airlines, guides and operators who deliver your trip do so under their own terms. We choose them with care and coordinate them for you, but the service on the day is theirs to provide.

Insurance, passports and health

Travel insurance is essential, and we ask that you hold cover suitable for your trip. You are responsible for holding valid passports, the correct visas, and meeting any health or entry requirements for the places you visit. We help where we can, but these remain your responsibility.

Our responsibility

We plan and coordinate your trip with care, and are responsible for doing that properly. We are not liable for failures of independent suppliers beyond our reasonable control, or for events outside anyone's control such as weather, strikes or disruption to travel. Nothing here limits any liability that cannot be limited by law.

Governing law

These terms are governed by the laws of India, and any dispute falls to the courts of Delhi.
